The supplements policies and procedures in the University Statutes, in particular §4-05.01-02.


NEW POLICY: for all recruitment expenses, please send completed Travel and Expense Check Request forms or Check Request forms to the Dean of Faculty's Office for signature

NEW POLICY:  all departments have access to an external file sharing product, Interfolio to assist with applications and supporting materials. Use of it is not mandatory. Departments including Chairs, Search Committee Chairs, and Search Committee members can familiarize themselves with Interfolio at  Use of this product will require its contact information on advertisements. You will be contacted by the vendor.

NEW POLICY:  all searches require a pre-approved plan for recruitment travel and candidate campus visits. Costs not pre-approved will be returned to department budgets.

  • include representatives from both campuses
  • include any interdisciplinary program involved in the Search
  • encourage diversity in the search committee as wellas in candidates
  • identify the search committee to Dean Harrington



  • submit to the Dean of Faculty for approval before posting 
  • when approved, place the ad in the agreed upon professional journal
  • billing can be returned to the Dean of Faculty's Office

  • Teleconferencing should be used s much as possible for pre-screening
  • faculty attending conferences for presentations should provide as much pre-screening as possible
  • only if appropriate interviewers will not be at the conference, the department may, with the Dean of Faculty’s approval, send up to two (2) faculty members under the recruitment budget to screen candidates for two (2) nights; usual policies on allowable expenses apply; additional travel expenses may preempt other expenses such as interviewing suites; send completed Travel Forms to the Dean of Faculty's Office
  • before any travel a search plan including recruitment expenses and candidate campus visits must be provided to the Dean of Faculty


  • limited to two (2) candidates
  • limited to two (2) nights 
  • Candidates are reimbursed for air or rail fare and local transportation (taxi or RAM Van); send completed Check Requests to the Dean of Faculty's Office.
  • for reimbursement of faculty exenses, send completed Check Requests to the Dean of Faculty's office


  • Departments may entertain a candidate for dinner one (1) time with up to four (4) department members; expenses for this dinner should not exceed $80 per person ($400 in total); expenses that exceed this limit without prior approval may not be reimbursed. 
  • if the candidate is staying for two nights, the chair or another faculty member may join him/her for dinner the other night and submit a bill for two
  • Departments may provide lunch for the candidate and several department members and students on two (2) days; This should be at campus facilities, when possible, and cost should not exceed $12 per person. Ask for a letter from Dean Harrington if you wil be going to the RH Faculty Dining Room to have the cost charged directly to his account

FOR NON-TENURE TRACK HIRES: advertisement, travel and hotel expenses are not available for non-tenure-track searches


  • two (2) finalists should be invited for an on-campus interview for each tenure track position, whether local residents or not. 
  • contact the Dean of Faculty's office to arrange an appointment with the Deans. The Deams are reserving Tuesday and Thursday mornings for interviews 
  • All candidates must visit department members at both the Lincoln Center and Rose Hill campuses
  • one (1) week prior to the interview with the Deans, forward an electronic file for the candidate to the Dean of Faculty, to include:
  • advertisement of the position
  • correspondence to/from the candidate
  • the candidate's curriculum vitae
  • 3 letters of recommendation
  • transcripts, if available
  • a schedule of activities for the visit (this may be updated closer to the visit)


  • after the initial interviews but before the Department meets to make its final recommendation, the Chair contacts the Dean of Faculty to review jointly initial reception of candidates by Deans and by Faculty
  • the chair communicates the Department's choice in an e-mail to the Dean of Faculty, But there is no communication with the candidate concerning an offer at this point 


  • the Dean of faculty works with the Chair to determine the details of an initial offer and then consults with the Provost before the offer is made; an initial offer cannot be made unless authorized by the Provost
  • only after receiving confirmation from the Dean of Faculty is the Chair authorized to make telephone contact with the candidate and to indicate the recommended terms the Department is ready to make to the Dean of Faculty
  • changes to the initial offer approved by the Provost must be brought to the attention of the Provost by the Dean and approved before communicated to the candidate


  • When the candidate accepts the verbal offer, the Department Chair e-mails the Dean of Faculty with the exact terms along with the candidate's citizenship/VISA status
  • The Dean of Faculty sends an e-mail to the department chair, with a copy to the Associate Vice President for Faculty Personnel, confirming the terms of the contract; at this time the Associate Vice Presidents for Faculty Personnel sends the Faculty Application and background check materials to the candidate.
  • The Department sends the candidate an electronicAccess Form with a request for an official transcript (having a transript sent to Fordham speeds up the background check)
  • when all required forms are completed, the entire file is sent to the Dean of Faculty:    
  • official transcripts
  • address to which to send the contract
  • Curriculum Vitae
  • original letters of recommendation
  • Record of Hiring form
  • Electronic Access Form
  • at least 3 Search Committee/Department members in addition to the Department Chair are required to send recommendations for hiring directly to the Dean of Faculty
  • when the file is complete, the Dean of Faculty includes his recommendation and sends the entire dossier to the Associate Vice President for Faculty Personnel, who prepares and sends the contract to the candidate
  • the candidate signs and returns the contract for the University's signature; a copy of the completed contract is sent back to the candidate along with a cover letter giving instructions on how to arrange for the Fordham ID# and computer e-mail account
